General Data Protection Regulation (GDPR) – Privacy Policy

From 25th of May 2018, the General Data Protection Regulation (GDPR) replaces the 1995 Data Protection Directive, extending the scope of the EU Data Protection Law and bringing a new set of ‘Digital Rights’ and Personal Data Protection in the digital economy.

At Hamilton Hunter Scotland Limited, we take your data storage and protection seriously and would now like to outline our Privacy Policy in accordance with the General Data Protection Regulation (GDPR) as follows:

How Do We Collect Your Information?

As outlined on our ‘Contact Page’ our website is ‘View Only’, ensuring none of your communication or data is stored on this site.

However, once you apply for a vacancy advertised on this or any other media platform, or by contacting us speculatively, you are providing clear and explicit consent for us to get-in-touch with you via any of the contact details provided.

A clear record of our communication will be captured and stored on our recruitment platform and you will have access to this information, either free-of-charge, or at a ‘reasonable fee’ if your request is manifestly unfounded or excessive, particularly if it is repetitive.

The Type of Information We May Collect?

Hamilton Hunter Scotland Limited is a Recruitment Agency which finds and ‘introduces’ candidates for other businesses.

We are not an ‘employment business’ and do not employ and pay staff ourselves, on behalf of other companies, or assume responsibility for ensuring the workers’ rights under working time and minimum wage rules or hold a responsibility for agency workers’ health and safety or ensuring they have the same access to shared facilities as other workers.

This considerably reduces the type of information we will receive or require, so instead, our candidates will typically apply for an advertised vacancy or by speculative approach, and provide a copy of their Curriculum Vitae, with this document containing, but not limited to:

  • Name
  • Address
  • Telephone Numbers
  • Email Addresses
  • Date of Birth
  • Photograph
  • Education, Qualifications and Professional Memberships
  • Personal Summary of Skills & Experience
  • Strengths & Weaknesses
  • Hobbies & Interests
  • Salary & Associated Benefits

However, during the process of our representation, we may request additional information, such as, but not limited to:

  • Proof of eligibility to work in the UK
  • Copy of Passport
  • National Insurance Number
  • Copy of UK Driving Licence
  • Bank Details
  • Copy of P60
  • References

How Will We Share & Use Your Information?

Overall, we will only ever share such information as deemed necessary to enable us to perform our duties and responsibilities as a recruitment agent, assisting you in securing employment with one of our clients.

Typically, we will provide the information as listed in ‘The Type of Information We May Collect?’ section above, either by email, or during conversations with our clients, but may also use your information for, but not limited to:

  • Improving customer service
  • Respond to your customer service requests and support your needs more efficiently
  • Personalising your customer experience
  • Running a promotion, contest, survey or include you in candidate networking activities
  • Sending information about topics we think will be of interest
  • Sending periodic emails

Again, all information shared is recorded and stored on our recruitment platform and accessible on request.

We do not sell, trade, or rent your personal identification information to others but may need to share your information with third part suppliers, including but not limited to, our recruitment platform provider, regulator or to comply with the law.

These sites and services will have their own privacy policies but will also be subject to the scope and legality of GDPR.

Your Consent

At Hamilton Hunter Scotland Limited, we value the personal and sensitive nature of the information we hold, and prior to sharing the information you provide, typically contact you to discuss our planned action and sharing of the required information.

Again, this will usually be focused on the specific sharing of your Curriculum Vitae and the information held therein but could encompass the full range of information captured and as highlighted in the ‘The Type of Information We May Collect?’ section above.

Should you wish to withdraw your consent to the collection and sharing of your information, apply your ‘right to be forgotten’ and destroy all information held by us, or to remove you from receiving future emails, you can simply contact us with the relevant instruction and we will action accordingly

How Do We Protect Your Information?

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorised access, alteration, disclosure or destruction of your personal information, transaction information and data stored on our recruitment platform.

What Do We Do If A Data Breach Occurs?

Should any data breach occur on the information we hold, we will follow the guidance provided by the Information Commissioner’s Office (ICO).

Changes to this privacy policy

Hamilton Hunter has the discretion to update this privacy policy at any time.

When we do, we will post a notification on the main page of our Site and send you an email.

We encourage Users to frequently check this page for any changes to stay informed about how we are helping to protect the personal information we collect.

You acknowledge and agree that it is your responsibility to review this privacy policy periodically and become aware of modifications.
